🏪 Merchant Mode — Full Guide

See how booking works for owners, staff, and customers — all on one page. BridgeTime is free to use, and customers don't need to sign up or download anything, just tap a link. It supports Vietnamese and four other languages, and pairs with free group scheduling to find a time that works for everyone.

Three roles

Merchant mode has three roles, each with its own entry point, duties, and permissions. Find out which one you are first.

Picks a service, a time slot and an optional staff member, fills in contact details to book, then can add it to a calendar or cancel.

Go from nothing to an open shop in five steps.

1. Create the shop
Enter a shop name and your own URL (slug) to create a public booking page.

2. Keep the admin password
Creating the shop generates an admin password — your key to the admin, and it works on any device. Save it to the credential card or a password manager, because a lost password can't be recovered.

3. Set up services & staff
Add services (duration, price, capacity) and staff, then set which services each staff member can perform.

4. Create slots (single or recurring)
Open specific dates with single slots, or use recurring slots (e.g. every Tue & Wed 14:00–18:00) to auto-generate the next 60 days of bookable times.

AI assistant: set up your shop in one message

Open the AI assistant in the merchant admin and include the staff, services, durations, and prices in one complete message. If it contains multiple staff or services, BridgeTime first shows one read-only batch list and writes only after your single confirmation.

1. Include every condition in one message
State the headcount, each staff member’s name and tier, service duration, and price in one instruction. The box supports multiple lines: Enter only adds a new line. Run is the only persistent submit button.

2. Review the whole batch, then create everything once
Every creation request containing multiple staff or services first shows one read-only list covering all staff, services, prices, and assignments. The list has one Confirm and run / Do not run choice for the whole batch. Confirmation writes everything in one transaction; cancellation, expiry, or any validation failure writes nothing. Success returns one batch summary, never per-person confirmations or writes.

3. Create a recurring schedule with one complete chat command
Put the staff member, weekdays, time range, service, and effective date in one complete command. Clicking Run creates it immediately—there is no preview, confirmation, or other interactive button. BridgeTime parses it internally with fixed rules, never sends it to Kimi, and rolls everything back if any step fails.

4. Finish five onboarding steps
PINs and account invitations stay in their dedicated secure screens. The assistant can create a simple fixed schedule in one pass; use the admin for complex or one-off shifts, then check and share the booking link.
① Set a staff PIN
In Admin → Staff, set a 4–8 digit PIN for that person. A PIN provides account-free access to the staff portal; it is not a registration code and should not be pasted into the AI chat.
② Send an account invitation
To bind the staff member's own BridgeTime account, click “Invite” beside their name and send the one-time link or QR Code only to them. It is valid for 7 days and they accept it after signing in with email.
③ Create schedules and future bookable slots
Use the complete command above for a simple fixed weekly schedule. Use Admin → Slots for complex conditions or one-off shifts. Staff and services alone are not enough for customers to book without future slots.
④ Provide the staff portal
Staff using a PIN enter at bridgetime.org/m/your-shop/staff and only see the schedules, bookings, and shift tools available to them.
⑤ Share the customer booking link
Copy bridgetime.org/m/your-shop from Admin → Settings → Share link and post it on LINE, Instagram, your site, or a business card. Having a public URL does not mean booking is open: you first need an active service and future bookable slots.
5. Shop data is not sent to Kimi
BridgeTime parses the original message on its own server. Kimi receives only a fixed abstract action category—not the shop name, staff names, services, prices, PINs, admin password, customer contacts, schedules, IDs, or conversation history.
✓ Business data still goes to BridgeTime's own server and database as required by the feature; the privacy boundary prevents it from being sent to the LLM provider.
⚠ Do not enter a PIN, admin password, invitation token, or customer contact details. Use the dedicated admin screen for these sensitive operations.
6. Common safety rejections
To avoid incorrect records, the assistant stops in these situations and leaves no partial result.
• A name, service duration, price, or another required condition is missing.
• The stated headcount does not match the staff members actually listed.
• Conditions conflict, a name is duplicated, or service assignments are ambiguous.
• A staff or service name already exists and could create a duplicate.
• The request asks to read, reveal, or handle a PIN, admin password, invitation token, or customer personal data.

Staff: schedule & shifts

Staff need no admin password. They can use a PIN from the owner to enter their portal, or bind a BridgeTime account through a one-time invitation.

1. Use a PIN, or bind an account by invitation
For quick access, the owner sets a 4–8 digit PIN for each person. To bind an account, the owner sends a one-time invitation valid for 7 days. A PIN is not a registration code; the web staff portal currently still uses PIN sign-in, so accepting an account invite does not replace the PIN.

2. View schedule & handle bookings
After signing in you see the bookings assigned to you and can update their status (confirm, complete, no-show, etc.).
3. Self-schedule & take open customers (with permission)
If the owner enables it, staff can add their own bookable slots and take "open" customers who didn't request a specific person.
💡 Staff tier and self-scheduling permission are separate settings. Regular, senior, and star tiers support presentation and operating rules; the owner separately controls whether each person can self-schedule. Staff without that permission can still view and handle assigned bookings.

Customer: book online

No sign-up — customers open the booking page and finish in a few steps.

Browse the shop's services and pick the one you want — the available times and staff are then filtered for that service.

FAQ

What if I forget the admin password?

The admin password is your key to the admin and is never stored in plain text — so a lost password can't be recovered. Be sure to save it to the credential card or a password manager; re-enter it to sign in on any device.

Is the staff PIN the same as the admin password?

No. The admin password lets the owner into the admin; the staff PIN is set per staff member and only opens that person's portal, not the whole shop's settings. A PIN is not a registration code—use the owner's one-time invite link to bind an account.

How is the public booking page different from the admin?

The public page (what customers see) shows your active services and their bookable times; the admin (owner / staff) is for setup and management and requires signing in.

Can customers cancel by themselves?

Yes, as long as it fits the shop's cancellation rules (e.g. how far ahead of the appointment cancellation is allowed). Past that window they'll need to contact the shop directly.

Is customer data safe?

The contact details a customer enters are visible only to the owner and the assigned staff — never shown publicly on the booking page. The shop keeps them in its customer records to handle that booking and follow up on future visits.

Does the AI assistant send shop data to Kimi?

No. Kimi receives only a fixed abstract action type. The original message, shop information, names, prices, schedules, contact details, admin password, and PIN are never included in the provider request.
