How booking works for owners, staff, and customers — on one page

Three roles

Merchant mode has three roles, each with its own entry point, duties, and permissions. Find out which one you are first.

Creates and owns the shop, sets up services, staff and time slots, shares the booking page, and handles every booking and shop setting.

↪ Signs in to the staff portal with a PIN from the owner
Views their own schedule and handles the bookings assigned to them; once the owner grants it, can self-schedule and take open customers.
🙋Customer
↪ Opens the booking page the owner shares — no sign-up
Picks a service, a time slot and an optional staff member, fills in contact details to book, then can add it to a calendar or cancel.

Go from nothing to an open shop in five steps.

1. Create the shop
Enter a shop name and your own URL (slug) to create a public booking page.

2. Keep the admin password
Creating the shop generates an admin password — your key to the admin, and it works on any device. Save it to the credential card or a password manager, because a lost password can't be recovered.

3. Set up services & staff
Add services (duration, price, capacity) and staff, then set which services each staff member can perform.

4. Create slots (single or recurring)
Open specific dates with single slots, or use recurring slots (e.g. every Tue & Wed 14:00–18:00) to auto-generate the next 60 days of bookable times.

5. Share the booking page
Share the public booking link on LINE, Instagram or your business card. Customers tap it and book themselves — no back-and-forth messaging.

Daily operations

Once you're open, the admin is your day-to-day control center.

Customer management
Returning customers are filed automatically — view their contact details and past bookings to follow up and stay in touch.

Adjust the shop name, business info and cancellation rules anytime — and bind an email account or update the admin password here.

Staff: schedule & shifts

Staff need no admin password — a PIN from the owner gets them into their own portal.

1. Sign in with a PIN
The owner sets a PIN for each staff member. Enter the PIN to sign in and see only what relates to you.

2. View schedule & handle bookings
After signing in you see the bookings assigned to you and can update their status (confirm, complete, no-show, etc.).
3. Self-schedule & take open customers (with permission)
If the owner enables it, staff can add their own bookable slots and take "open" customers who didn't request a specific person.
💡 Staff have no ranks; the only difference is whether the owner grants the "self-scheduling" permission. Staff without it can still view and handle bookings assigned to them.

Customer: book online

No sign-up — customers open the booking page and finish in a few steps.

1. Choose a service
Browse the shop's services and pick the one you want — the available times and staff are then filtered for that service.

Choose an available time. If the shop lists its staff, you pick the slot for the person you want; otherwise the shop assigns someone for you.

Leave a name and contact details to submit the booking — you'll get a private link to look it up afterward.

FAQ

What if I forget the admin password?

The admin password is your key to the admin and is never stored in plain text — so a lost password can't be recovered. Be sure to save it to the credential card or a password manager; re-enter it to sign in on any device.

Is the staff PIN the same as the admin password?

No. The admin password lets the owner into the admin; the staff PIN is set per staff member by the owner and only opens that person's portal — it can't see the whole shop's settings.

How is the public booking page different from the admin?

The public page (what customers see) shows your active services and their bookable times; the admin (owner / staff) is for setup and management and requires signing in.

Can customers cancel by themselves?

Yes, as long as it fits the shop's cancellation rules (e.g. how far ahead of the appointment cancellation is allowed). Past that window they'll need to contact the shop directly.

Is customer data safe?

The contact details a customer enters are visible only to the owner and the assigned staff — never shown publicly on the booking page. The shop keeps them in its customer records to handle that booking and follow up on future visits.
